What to Confirm Before a Vendor Starts Work

Vendor documentation should match the work and the property. Confirm who will perform each part of the scope, which requirements apply, and who is responsible for reviewing them before scheduling.

Identify the provider and the work

List the services, locations, access conditions, and any subcontracted work. A general business profile is not proof that a particular provider holds the credentials required for every trade or jurisdiction.

Review the documents relevant to the scope

  • Insurance: request current documentation for the coverage required by the engagement. Review dates, named parties, and requirements rather than relying on a badge.
  • Regulated work: identify the appropriate provider and confirm applicable licensing, permits, and inspections.
  • Site access and screening: agree on required checks, authorized personnel, identification, keys, and restricted areas.
  • Safety: communicate property rules, task hazards, equipment restrictions, and the responsible contact.
  • Follow-up: define which records and completion notes belong in the handoff.

Keep requirements current

Identify the person responsible for reviewing expiration dates, scope changes, and missing documents. A reminder or document upload is not the same as a completed review. Changes in trade, location, personnel, or scope may require another check before work proceeds.
